Data protection & DPA

Conclude the data processing agreement in the portal and download it with the TOM.

For the emails you send through MailBridge we are your processor. That requires a data processing agreement (DPA, German AVV) under Art. 28 GDPR. Under Data protection & DPA you conclude it and download it, together with our technical and organisational measures (TOM).

Concluding

  1. Enter your company details: name, address, who legally represents the company, and who is concluding the agreement now.
  2. Confirm that you are authorised to do so.
  3. Click Conclude DPA.

That concludes the agreement. The electronic format is sufficient under Art. 28(9) GDPR; there is nothing to sign and send back. We record the version, the time and your name.

Downloading

After concluding, the DPA is available as a PDF. It carries your details, a note on the electronic conclusion and our signature with company stamp. It includes a blank line for your own signature in case you want a copy signed by both parties for your records. This is not required.

The TOM describe how we protect the data: data centers, encryption, access control, retention periods. They are always available for download in the current version.

You can read both texts on the page beforehand. The agreement is in German, the governing language of the contract.

New versions

If the DPA changes, we announce it four weeks in advance. The portal then shows a notice, and you conclude the new version with one click. Earlier agreements remain available as PDFs, exactly as they were issued.

If your company details are out of date, for example after a move, click Change company details and conclude again.

Special categories of data

If you send health data or other special categories under Art. 9 GDPR, read section 1.5 of the TOM on encryption. Submit through port 587, where encryption is enforced. Ideally, sensitive details are not in the subject or body but only a notice with a link into your signed-in system.
